Step-by-Step Guide to Connecting Follow Up Boss with Clarity Now

The Follow Up Boss integration keeps your Clarity Now goals, reporting, and P&L accurate by ingesting deals and activity from FUB—without spreadsheets.

What you get

What you still do manually

  • Daily Tracking: refreshed every 5 minutes from FUB


Prerequisites

  • Active Clarity Now account (Pro/Business+ recommended for teams)

  • Follow Up Boss admin access (to create an API Key)

  • Your desired FUB pipelines/stages finalized (custom names supported)


Step 1 — Connect Follow Up Boss to Clarity Now

  1. In Clarity Now, open Dashboard → ⚙ Tools & Integrations.

  2. Choose Follow Up Boss Integration → Launch and review the overview panel.

  3. Click Start Integration.

  4. In a new tab, open Follow Up Boss → Admin → Integrations → API Keys & Lead Email.

  5. Click Create API Key. Name it clearly (e.g., Clarity Now). Copy the key.

  6. Back in Clarity Now, paste the API key and Save.

  7. Click Complete Integration to:

    • Register FUB webhooks to Clarity Now

    • Create Clarity Now custom fields inside FUB deals (used during sync)

✅ You’ll see a success prompt. From now on, new/updated FUB deal events will flow in.


Step 2 — Configure What Syncs (Pipelines & Stages)

Go to Integration Settings in Clarity Now.

2A. Choose which deals auto‑sync

  • For each FUB pipeline (e.g., Buyers, Sellers, Pre‑Market) and stage, toggle Yes/No to include it in auto‑sync.

  • Your FUB custom pipelines/stages appear here automatically. If you add a new pipeline or stage in FUB, reload this page to see it.

2B. Map FUB stages → Clarity Now statuses

  • Use Deal Stage Mapping to point one or more FUB stages to a single Clarity Now status (e.g., map Offers, Contract, and PendingPending).

  • Do this for both Listings and Transactions as needed.

Tip: Keep mapping simple—group your FUB stages to the few CN statuses you actually report on.


Step 3 — Daily Tracking Mapping

Daily Tracking in Clarity Now powers conversion reports and leaderboards.

  • In FUB, define your Appointment Types in Calendar (e.g., Listing Appt, Buyer Consult).

  • In Clarity Now Daily Tracking Mapping, map each FUB appointment type to the corresponding Daily Tracking metric.

  • Your custom tracking categories in Clarity Now can also be mapped. Track anything (e.g., “Open House Held”, “Social Posts”, even “Gym Visit” for team wellness fun). These appear in Leaderboards too.

Refresh interval: Updates arrive about every 5 minutes.


Working With Deals & Transactions

A. From FUB → Clarity Now (most common)

  1. Create or update a Deal in FUB (enter price, dates, participants, etc.).

  2. Wait up to a minute for webhook processing; in Clarity Now you’ll see a new Transaction with status Incomplete (bell notification appears).

  3. Open the transaction in Clarity Now and finish:

    • Address: Select from FUB contact via Search FUB or enter manually

    • Cost of Sale: Referral %, brokerage/royalty, agent/member splits (percent or flat fee)

    • Click Save to complete

Why “Incomplete”? FUB doesn’t store the Cost of Sale structure you need for P&L and goal tracking; Clarity Now does.

B. From Clarity Now → FUB

  • On any Clarity Now transaction, click the Follow Up Boss button (top‑right of the editor):

    • Create Deal in FUB (if none exists), or

    • Find & Link Deal to connect an existing FUB deal

  • Once linked, updates will sync bidirectionally for mapped fields/stages.

C. Bringing in Past Deals

The integration won’t automatically import deals created before you connected it. Use either approach:

  • Link existing CN transactions to FUB deals: open the transaction → Follow Up Boss → Find Deal

  • From the FUB Sidebar in Clarity Now: Integrations → Follow Up Boss → Deals, locate the deal → Actions → Create Transaction


The Follow Up Boss Sidebar (inside Clarity Now)

Open Integrations → Follow Up Boss to access a right‑hand sidebar with tabs for:

  • Contacts: Search/browse FUB contacts; create a Listing or Transaction from a contact

  • Leads: View your leads synced from FUB

  • Tasks: See FUB tasks while you work in Clarity Now (pro tip: add a FUB task like “Complete Cost of Sale in Clarity Now”)

  • Deals: Filter by pipeline/stage, open a deal, and Create Transaction in Clarity Now (pull address from the selected contact or enter manually)


Team Functionality

  • Each agent can connect their own FUB API key in their Clarity Now portal.

  • FUB updates made by agents flow down to their Clarity Now accounts; Listings/Transactions also roll up to the Rainmaker’s portal when agents are included in Compensation.

  • A transaction appears in an agent’s portal when they’re listed in Compensation on that transaction (e.g., Liam 50%, Fiona 5% flat $250, etc.).

  • Agents see only their data; leaders see company‑wide plus per‑agent via Observatory.

  • Add Editors or Viewers (e.g., admin, coach, CPA) for free; only Agent seats are billed.


Reports Unlocked by the Integration

Once deals and activity are flowing, Clarity Now’s analytics come alive:

  • Goal Gap: Days left to sell/take listings this year; next‑7‑days targets to stay on track

  • Agent Production: Listings taken, sales, closings per agent/company

  • Conversion & Lead Source (Buy/Sell sides; dials→contacts from FUB)

  • Leaderboards: Sales plus any custom category you track

  • CEO Summary → Projected Net Profit: Pending + closed gross profit minus planned monthly spend → forecasted net by month

  • P&L: Revenue, Cost of Sale, and expenses (via QuickBooks API or manual entries)


Notifications & Indicators

  • Blinking Bell in Clarity Now: a FUB‑driven transaction was created/updated

  • Incomplete Transaction badge: finish Address + Cost of Sale details

  • FUB Deal tag on a transaction: confirms link to its FUB counterpart


FAQs

Does the integration backfill older FUB deals?
No. Link them manually (Find & Link Deal) or create CN transactions from the FUB Sidebar.

Why isn’t the property address auto‑filled?
FUB contacts can hold multiple addresses. Choose the correct one via Search FUB or type it in.

How fast is syncing?
Webhook events are queued immediately; Clarity Now processes integration jobs every minute for deals. Daily Tracking updates every 5 minutes.

Do I have to start the deal in FUB?
No. You can start in either system. If you start in Clarity Now, use Create Deal to push to FUB or Find & Link Deal to attach to an existing one.

My Daily Tracking numbers seem delayed.
Give it ~5 minutes after adding FUB calendar appointments.

Can I control which FUB stages sync?
Yes. Toggle stages in Integration Settings, then map them to Clarity Now statuses.

Who can see what on a team?
Agents see only their own data. Leaders have roll‑up views and can impersonate agents via Observatory.


Troubleshooting

  • Don’t see FUB pipelines/stages in CN?

    • Confirm you clicked Complete Integration and then reload Integration Settings.

  • No webhooks firing?

    • Re‑paste a valid FUB API Key and click Complete Integration again to re‑register webhooks.

  • Transactions stay Incomplete

    • Open the transaction and finish Address and Cost of Sale. Remember the checkbox in certain FUB fields must be ticked to save values.

  • Daily Tracking not updating

    • Verify FUB Appointment Types are mapped; wait ~5 minutes; ensure your FUB calendar event used the mapped type.

  • Team deals not appearing under agents

    • Add agents to Compensation on the transaction (percentage or flat amount).
